// Case study / AI voice reservations

Every call answered.

A restaurant taking most of its reservations by phone — often during the exact hours when staff were busiest with the guests already in the room. We built a voice agent that answers every call.

This engagement is shown without the client's name, at their preference. The problem and the build are described as delivered.

The situation

Missed calls meant lost reservations and irritated customers, and the calls were missed precisely when the restaurant was doing well. Hiring more front-of-house staff simply to cover the phone did not make economic sense for the problem being solved.

What we built

Natural phone conversation

The agent answers and holds an ordinary spoken conversation, rather than pushing callers through a menu tree.

Guest questions on demand

Opening hours, the menu, directions, and what the restaurant can do for a particular occasion — answered on the call, at any hour.

Takes the booking

Party size, time, and any preferences are captured during the conversation, so the caller finishes the call with a reservation rather than a promise of a call back.

Writes into the reservation system

Bookings land directly in the system the restaurant already runs on, so nobody re-keys them later and the floor plan stays accurate.

The measure of this one is simple: staff stay focused on the guests in front of them, and the phone stops being the thing that interrupts service.

Questions

Do callers realise they are speaking to an AI?

We build these to be upfront rather than to impersonate a person. How that is disclosed is the client’s call, and we would advise being straightforward about it — callers tend to mind far less than businesses expect.

What happens on a call it cannot handle?

It hands off rather than improvising. The failure mode we design for is passing the caller to a human, not guessing at an answer the business would have to stand behind.
